An SAP support proposal can appear cheaper because it covers fewer systems, shorter hours or less change work. Before scoring suppliers, send the same landscape summary, ticket information and service expectations to each one. Ask suppliers to identify exceptions explicitly. This scorecard is a suggested procurement method, not a market benchmark or a claim that one engagement model is always best.
Identify requirements that cannot be traded away: relevant module capability, required working arrangements, an acceptable access process and a clear escalation owner. Request evidence appropriate to the engagement. A high overall score should not conceal a failure on a requirement your business considers essential. Keep these gates limited and explain them consistently to every bidder.
One starting point is 25 percent for relevant delivery capability, 20 percent for scope and operating ownership, 20 percent for transition and service governance, 15 percent for security and change controls, 10 percent for communication and 10 percent for commercial clarity. Change these weights before evaluating suppliers to reflect your business priorities. The percentages are an illustrative framework, not researched industry averages.
| Suggested category | Illustrative weight |
|---|---|
| Relevant delivery capability | 25% |
| Scope and operating ownership | 20% |
| Transition and service governance | 20% |
| Security and change controls | 15% |
| Communication | 10% |
| Commercial clarity | 10% |
Use a consistent scale: zero means no usable answer, one means a general statement, two means a specific approach with gaps, three means a complete answer with relevant evidence, and four means a complete answer with evidence and clear treatment of your constraints. Record why each score was given. Ask follow-up questions where a supplier’s answer is unclear rather than rewarding confident language alone.
Ask how each priority is defined, when the clock starts, what coverage window applies and how dependencies are treated. Acknowledging a ticket is different from restoring service or resolving its cause. Compare the actual commitments and reporting definitions. Have your commercial and operational stakeholders review the final terms rather than treating a sales presentation as the support agreement.
Ask what happens when an incident reveals a new development requirement, an external-system issue or a recurring data-quality problem. Clarify included effort, estimation, approvals and additional charges. Request examples of how an enhancement moves from request to test and release. The purpose is to know who owns the next action when the initial ticket cannot be solved within the original boundary.
Price is incomplete without the work needed from your own team. Compare documentation requirements, knowledge-transfer sessions, access preparation, unresolved-ticket ownership and stabilisation. Also discuss how records and knowledge will be handed back when the engagement changes. A proposal that clearly states customer responsibilities is easier to plan than one that assumes unlimited availability from business users.
Use the scorecard to focus a discussion with the strongest candidates. Validate outstanding questions, check references where permitted and document the final scope before selecting a provider. For businesses, Nexus8 can discuss an SAP support requirement using your existing landscape and operating needs. Share a redacted summary rather than production credentials or confidential customer records.

Use the same written brief for every supplier. First record whether each proposal meets your essential requirements. Then score the evidence from 0 to 4 and adjust the category weights to total 100%.
A blank score is incomplete, not zero. Weights of zero exclude a category. Suggested weights are illustrative, not an industry benchmark. Record your evidence and essential requirements in the downloadable worksheet.

A high score cannot override a failed essential requirement. Verify references, outstanding questions, contract terms and total scope before selecting a provider.
