Changing SAP support providers: a practical handover checklist
Plan an SAP AMS transition with a backlog review, knowledge transfer, controlled access and clear operational ownership.

How do you change providers without losing ownership?
Plan the transition around operational responsibility, not just a contract date. Record what is open, what is documented, who has access and who owns each process. Agree a readiness review before the new provider takes over. No transition plan can eliminate every risk, but a written inventory helps both teams identify gaps and make decisions early.
Create a shared transition register
List production and test systems, modules, integrations, scheduled jobs, custom objects and operational contacts. Add document locations and known limitations. Keep passwords and access tokens out of the register. Use your approved credential and access processes instead. Assign an owner and due date to each missing item so the register becomes a working handover tool rather than a static document.
Review the backlog together
Separate unresolved incidents, recurring problems, approved changes and requests awaiting a business decision. Capture business impact, investigation notes, workarounds and dependencies. Avoid closing old tickets simply to make the transition report look clean. Decide explicitly who will complete each item and where new information will be recorded during the overlap period.
| Transition gate | Check |
|---|---|
| Knowledge | Runbooks and process walkthroughs are usable |
| Operations | Every open critical item has a named owner |
| Access | Approved incoming access and outgoing-access plan |
Plan knowledge transfer by process
Organize sessions around business-critical workflows and the exceptions people actually encounter. Include month-end, dispatch, procurement and other relevant operational cycles. Record decisions and produce usable notes. Ask the incoming team to demonstrate its understanding through an agreed walkthrough or simulation in an appropriate environment. Attendance at a meeting is weaker evidence than a documented ability to follow the operating process.
Control access through the customer
The customer should approve access appropriate to the work and maintain an accountable access owner. Agree how new permissions will be requested and how outgoing access will be removed when responsibilities change. Production changes should continue to follow the established approval process during transition. Avoid emergency shortcuts becoming the permanent operating model.
Agree the switch-over and stabilization period
Identify the point when ticket triage, escalation and communications move to the incoming provider. Clarify whether any items remain with the outgoing team. Publish a contact map for business users and third-party providers. During stabilization, review incidents and gaps more frequently, then move to the agreed regular reporting cadence once responsibilities and information are reliable.
Measure transition readiness
Useful checks include complete ownership for critical incidents, an agreed integration inventory, approved access, usable runbooks and a tested escalation route. Any unresolved item should have an explicit risk owner and mitigation decision. Do not describe a handover as complete merely because a date has passed or files have been copied.
Request a transition assessment
Nexus8 can discuss an SAP support transition for your business across its delivery locations. Share the current scope, target transition date and known handover constraints. The assessment should establish responsibilities, coverage and a practical plan before support ownership changes.
Discuss your SAP requirement
Tell us your company location, SAP landscape, business issue and preferred timing. The next step is a discussion of scope and delivery responsibilities.
